Poster Abstract
Evolution of a Workflow Process for Managing Electronic Resources

Purpose: This poster will report how a workflow process for tracking electronic resources was developed. It will show how processes have evolved in the past five years, how multiple library units were included, how the information was collected and the progress in adapting the database to cover existing information needs of the staff.
Setting/Participants/Resources: Lister Hill Library of the Health Sciences is the major academic health sciences library in Alabama. It currently provides access to more than 1,800 electronic resources. Library staff wants one database to answer questions about what resources are available or under consideration.
Results/Outcomes: The library has managed electronic resources for 5 years. However, information was not systematically collected and tracked. The library is adapting the ERLIC database developed at Pennsylvania State University to track all decisions about each electronic resource. This will allow library staff to determine whether resources have been licensed, reviewed, rejected or canceled. Resources will be entered and decisions about the selection process are input. New products will be reviewed monthly. Resources will be evaluated based on content (using the collection development manual), access, and price. Records are to be tracked throughout the process and the responsible staff should update the database and checklist to reflect the item’s current status. The database will systematize the collecting of information about the library’s electronic resources to inform library staff about the status of each resource.
Evaluation Method: Existing resources will be retrospectively added. Newly considered resources will be added as identified. Existing titles will be verified from current library tracking sources: the online catalog, the library web page for electronic resources and existing administrative files. The goal is to track all decisions regarding each electronic resource licensed, rejected or considered for purchase. Information regarding this ongoing project will include timelines for completion and problems encountered during the project.
