VMS II 2007-08 Schedule

ATTENDANCE
Certain lectures, presentations and activities have **required attendance. These are noted in the schedule.

Fall Semester

During this semester students are required to spend two half days per week on Emphasis and to meet regularly with their mentors. Work will continue on bringing the projects to completion, writing up the results and preparing a final report. There is not a specific designation of the periods to be devoted to the Emphasis Program. Instead, students will use their discretion in allocating time with approval from their mentors.
The committee has recommended that Areas meet as a group at least twice each semester. The timing of these meetings is at the discretion of the area.

  • August 31, 2007

Deadline for submission of Progress Report. Students may submit report from August 1st until August 19.
Students will post online a Progress Report addressing the following points:

  • What were the student’s original goals- what has changed?
  • What has the student achieved so far?
  • What is left to be done?
    • When the student posts the Progress report, a notification is automatically sent to the mentor and area head.
    • The mentor will review, comment and sign off. These comments by the mentor will be made available to the area head prior to the interview.
    • If there is no response by the mentor within 7 days, a reminder will be sent with a copy to the Area head and Emphasis Program Director. The mentor is expected to respond within a 10 day window. At which time a 2nd reminder will be generated.
    • The area head and the student will be notified by email when the mentor has responded.
    • Mentors will be alerted about impending Progress report expectations and deadlines on August 1. Each will be encouraged to make contact with the area head if there are any concerns or accolades they wish to convey.
    • Interviews between the Area Head and student can begin as soon as the completed reflection (student + mentor) is posted in August but should be completed no later than Sept 28th.

  • August through September 28, 2007

Area heads and committees conduct formative interviews with students. Each area head is responsible for setting up these interviews. Area heads may elect to conduct the interviews themselves or to involve members of the area committee. These are intended to be informal one-on-one conversations. Students will be provided in advance with an explanation of the intent and form of the interviews. They are not evaluative. The Progress report will form the basis of the interview. These additional points should also be covered in the interview:

  • Are there any emerging issues?
  • Does the student have comments on the strengths and weaknesses of student-mentor relationship?

  • November 1-30, 2007

During this period, each area will conduct a session (or sessions if the numbers require it) in which each student will present his or her work. The intent is to provide an opportunity for the students in an area to review and discuss all the projects in the area. The format can be either poster or oral presentation. Mentor will be encouraged to attend.
The times of presentations will be publicized to provide an opportunity for interested faculty and students to attend.

Spring Semester

There is not a specific designation of the periods to be devoted to the Emphasis Program. Instead, students will use their discretion in allocating time with approval from their mentors.
The committee has recommended that Areas meet as a group at least twice each semester. The timing of these meetings is at the discretion of the area.

  • February 4, 2008
    • Deadline for abstract submission for Emphasis Forum.

  • March 30, 2008
    • Deadline for poster submission for Emphasis Forum (by appointment).

  • April 22, 23 and 24, 2008
    **Attendance required
    • Emphasis Forum. A plenary session involving all students in the program will be held in which each student will present their work.
    • Students submit an abstract to the area committee in advance so that decisions can be made about types of presentation.
      Area Heads select the best 12 projects for floor presentations to be held from 1-5pm on April 24 in LH 202.
      The remainder will present their work as posters in the North Lobby LH. Attendance at the platform presentations on the afternoon of April 24(1-5 pm) is mandatory for all VMS 2 students

    There are three critical dates involving the Emphasis Forum:

    • February 4. Deadline for abstract submission.
    • March 30. Deadline for poster submission (by appointment).
    • April 22.23.24. Emphasis Forum

  • FINAL EVALUATION
  • At the end of the semester each student will be evaluated by his or her mentor.
    April 1. Submit draft of final reflective summary to mentor. April 30 submit final reflective summary.
    The mentor prepares a written report which will become part of the student’s transcript.

PLATFORM PRESENTATIONS.

AREA HEADS WILL SELECT FROM THE ABSTRACTS THOSE PROJECTS THAT MERIT A PLATFORM PRESENTATION.

The scientific session will be held on the Thursday afternoon from 1 to 5. pm. There will be 13 presentations.
The timing will be :

  • Student 10 minutes
  • Mentor 3 minutes
  • Questions 2 minutes.

The meeting will conclude with a reception.
Student presentations will be selected on the basis of merit and the number of students in each area. Each area will have at least one presenter.

GUIDELINES THE PREPARATION OF ABSTRACTS AND POSTERS

All students in the program are required to submit an abstract (see "Abstract Format Example"). All students except those selected to present a paper are required to prepare a poster.
The deadline for the abstract is February , 2008.

Posters

Posters will be displayed in the breezeway all day April 22, 23 and 24.

Posters must be completed and ready for submission for printing beginning March 30.

All Students will be excused from class and clinical responsibilities after 1pm on Thursday April 24, 2008.
All medical students, faculty and particularly mentors will be invited to attend the posters and presentations.
The meeting will be widely advertised in the medical center.
A book of abstracts will be published.
