Systems conversions blackout period affects password changes, Card Services, point-of-sale and debit systems, more

Beginning June 25, Vanderbilt University will implement a new Identity Management System and will stop using AccessVU, which is VUMC’s Identity Management System. Many changes need to take place to support the separation of VU and VUMC systems.  As a result, there will be a blackout period between June 19 and June 24 on all functionality related to AccessVU. 

AccessVU, or Identity Management, is the toolset that the enterprise uses to create and distribute identities to the many thousands of users on the network. It most specifically maintains users’ VUnetIDs and ePasswords and access to many of the digital resources associated with them. The majority of Medical Center employees rarely interact with the system and typically only use it to change passwords.

What this means

During the blackout period, from June 19 to June 24, workarounds are available for emergency needs (such as password changes) only. This change will not impact users’ ability to use their current VUnetID and ePassword. Authentication to network services will not be impacted by this change.

Medical Center departments that will be affected by the blackout period have been made aware of the blackout and have communicated with their partners and customers. The majority of users should not notice any change during this time frame. However, users who forget their password during the blackout period will need to submit a Pegasus ticket to restore system access.

VUMC Identity teams ask that if a user has any work planned in AccessVU during the blackout period (June 19 – June 24), to make arrangements to complete this work before June 19 or wait until after the blackout date and resume on June 25.

Separation of VU and VUMC point-of-sale and debit systems

Effective June 25, 2018, there will be a separation of the VU and VUMC point-of-sale and debit systems. For VUMC employees, Commodore Cash will become Badge Bucks. During the transition, the Medical Center Card Services office will be closed June 20-22. The Card Services office will close at 3 p.m. on Tuesday, June 19 and open again for regular business hours on Monday, June 25.

Neither new nor replacement badges can be issued while the Card Services office is closed. New hires attending orientation on June 18 should claim their VUnetID prior to June 18 and obtain their badges by 3 p.m. on June 19. New hires scheduled to attend the June 25 staff orientation should also claim their VUnetID by June 18 to ensure they receive a badge on June 25. The VUnetID system will also be down June 20-22.

Human Resources and IT will have additional staff on hand at the June 25 staff orientation to assist new hires who did not claim their VUnetID before the June 18 deadline.
