Notice of Privacy Practices

The HIPAA Privacy Rule mandates that health care providers distribute a Notice of Privacy Practices to all patients.  This document outlines how protected health information about an individual may be used and disclosed and under what circumstances specific authorization from the individual may not be required. The Notice of Privacy Practices also describes the HIPAA defined patient rights related to use and disclosure of the individual's health information. 
Since the Notice must only be provided once, an electronic system has developed to track the delivery of this notice by having the patient sign an Acknowledgement Form that confirms that they received a copy of the Notice of Privacy Practices.  This system has been integrated with Epic and Medipac and allows staff checking in patients to identify whether or not that patient checking in would require the Notice and when to document that it has been provided.  Any questions about the Notice may be directed to the Privacy Office at (615) 936-3594 or Privacy.Office@vanderbilt.edu.

For Staff:   Access Points that only collect Check-In Documentation:  If patients are arriving directly to your unit, the Notice of Privacy Practices will need to be delivered and the acknowledgement collected by whomever completes the admitting paperwork with the patient.  Patients who have been to other VUMC providers first will not require additional paperwork if they have already received the Notice.  If you have no way of confirming this, you should provide the Notice to the patient and get the acknowledgement signed.  If it is an emergency situation, and the patient, or their legal representative, are unable to sign the acknowledgement, document the reason on the acknowledgement form.

The release of HHS’s Final Rule on January 25, 2013 has mandated that we review and update our Notice of Privacy Practices.   We are currently working on the revision and expect to have the new edition available very soon.  Please call the Privacy Office with any questions, 936-3594.
