Deadlines Approaching for Spending Accounts Claims

Recipients of the Vanderbilt Health Reimbursement Account (HRA) (formerly FRA) and employees who elected a Health and/or Dependent Care Flexible Spending Account (FSA) (formerly PSA) for 2009 need to submit 2009 claims before the deadlines.

HRA claims are due Feb. 28 — for expenses incurred Jan. 1, 2009 through Dec. 31, 2009
Incur by: Dec. 31, 2009
Claim by: Feb. 28, 2010

FSA claims are due April 15 —you still have time to use up 2009 funds because of the IRS grace period, which allows expenses incurred through March 15 to be paid out of your prior year’s spending account.
Incur by: March 15
Claim by: April 15

PayFlex accepts claims:
1) online at http://vanderbilt.payflex.com – you must be able to upload a PDF or fax the receipts to verify your online claims
2) faxed to (800) 450-0016 – use the claim form on the HR Web site: http://hr.vanderbilt.edu/forms/documents/FSA.HRA.ClaimForm.pdf  
3) mailed to PayFlex Systems USA, Inc., P.O. Box 3039 Omaha, NE 68103-3039. Mailed claims must be received by the “claim by” date shown above, not simply postmarked by the claim date.

NOTE: The FSA and HRA are spending accounts managed by PayFlex and do not affect the health plan account that is funded by Vanderbilt and paid into an your health plan election as part of the Go for the Gold program. That health plan account does not require any action to process claims – Aetna or BlueCross BlueShield of Tennessee pay claims from that fund automatically.
